Cemetery Trustee Meeting
October 18, 2018 – 5:30 p.m.

Present:  David Pinckney, Mark McIntosh, Linda Fisher (trustees); Tammy Jameson (alternate trustee)

Old Business

  • September meeting minutes were approved.
  • October 20th workday postponed until further notice.
Continuing Business

  • 2017’s bills have been itemized.
  • David will submit to Trustees of the Trusts for reimbursement.
  • Training is needed for all trustees on the identification and sale of plots.
  • Current plot prices do not cover current maintenance costs.  Further discussion is needed.
  • Maps need to be updated to reflect sales and burials.
  • Tammy to contact CAI Technologies about updating the 2008 Leavitt map
  • A form is needed to help maintenance contractors efficiently itemize costs per cemetery.
  • Tammy will create a template.
New Business

  • Moving forward, minutes will be approved via email.
  • Questions were raised about meeting minutes protocol.
  • Linda will contact Kristy for clarification
  • Resident emailed questions regarding autumn and winter cemetery care.  
  • David to call with answers and to thank residents for recent branch removal
  • Leavitt Cemetery auto gate to be locked after 4” of snow.  Pedestrian gate remains unlocked.
  • Further discussion needed regarding whether flags at veterans’ graves should remain or be removed for winter.  Flowers need to be removed.
  • Trustee training program offered by the NHDOJ is now part of NHMA annual conference.
  • Linda will look into offered classes and related costs
  • A quote was received from Legacy Mark Management Software
  • All trustees to review proposal, watch included video, and make recommendations
  • There is an immediate need for an updatable ledger that shows available lots.
  • Linda and Tammy will create, due February’s meeting
  • Available lots will need to be verified physically and place markers added where there are none
  • The proposed budget for 2019 will be $15,000 -- an estimated $9000 for maintenance, $5000 for a sexton, and $1000 for a dedicated computer.  
  • A line item will need to be added for the Sexton’s position
  • Job description needed.  Tammy will check with Candia regarding employment structure (town employee or independent contractor)
  • A Capital Reserve warrant article will be considered for $3000 to grow fund.
  • Bids for 2019 maintenance due soon.
  • David to advertise RFP
